Workflows & Automation

What Are Workflows?

Workflows are the automation engine in GHL. They trigger actions based on specific events.

Workflow Structure

  1. Trigger: What starts the workflow (e.g., tag added, form submitted, opportunity stage changed)
  2. Actions: What happens (send email, SMS, create task, add tag, etc.)
  3. Conditions: If/then logic to create branching paths
  4. Delays: Wait specific time before next action

Common Workflow Types

Lead Magnet Delivery:

Trigger: Form submitted (lead magnet opt-in)

Action: Send email with PDF link

Action: Add tag "Downloaded [Lead Magnet]"

Action: Start email nurture sequence

Appointment Reminder:

Trigger: Appointment booked

Wait: Until 24 hours before appointment

Action: Send SMS reminder

Wait: Until 1 hour before appointment

Pipeline Automation:

Setting Up a Lead Magnet Campaign

  1. Create landing page with opt-in form

Creating Email Sequence

Email Deliverability Problems

  • Verify custom domain is set up correctly
  • Check SPF/DKIM records
  • Warm up new sending domains gradually
  • Remove inactive contacts
  • Monitor bounce and spam rates
  • Use clean, permission-based lists

Workflow Not Triggering

  • Check trigger conditions are met
  • Verify contact has required tags/fields
  • Review workflow filters
  • Check if workflow is active (not paused)
  • Look for conflicting workflows
  • Test with single test contact first

Forms Not Submitting

  • Check form field validation
  • Verify workflow connections
  • Test in incognito mode (clear cache)
